Program Registration

When a parent or legal guardian registers a student for an Orblynx Academy program, we may collect the parent or guardian's name, email address, phone number, and other contact information, as well as the student's name, grade level, school, program selection, and enrollment information. Students do not independently register for programs through our website.

Inquiries and Communications

When you contact Orblynx Academy, join a waitlist, request information or financial assistance, or submit another website form, we may collect your contact information and any information you choose to provide.

Educator Portal

Authorized educators may have secure accounts to access Orblynx Academy curriculum and resources portal. We may collect their name, email address, school or district affiliation, assigned resources, and account activity needed to manage access. The Educator Portal is not a student or parent portal.

2. How We Use Information

We use personal information as reasonably necessary to process registrations, communicate about programs and schedules, manage participation, respond to inquiries, review financial assistance requests, manage waitlists, provide educator access, maintain appropriate administrative and financial records, improve our website and services, protect our systems, and comply with applicable requirements.

3. Student and Minor Privacy

Orblynx Academy is committed to protecting student and family privacy. Parents or legal guardians complete program registration and provide the limited student information needed for participation. Orblynx does not knowingly collect personal information online directly from children under 13 without appropriate parental authorization. If we learn that this has occurred, we will take reasonable steps to delete the information. We do not sell student personal information or use it for targeted advertising.

4. Payment Information

Program payments are processed by Square. Card and bank information is entered and processed directly by Square and is not collected by, passed through, or stored on the Orblynx Academy's website or its hosting environment. Orblynx Academy retains only the registration information and payment confirmation details needed for program and business records. Square's own privacy and security practices also apply to information processed by Square.

5. Photography and Video

Orblynx Academy may photograph, record, or film students during programs and activities when parent or legal guardian permission has been provided. Parents may grant or decline media permission. When permission is provided, media may be used for educational, informational, or promotional purposes. Declining media permission does not affect a student's ability to participate.

6. How We Share Information

Orblynx Academy does not sell personal information. We may share limited information only when reasonably necessary with service providers that support our website, registration, communications, or operations; with schools, districts, host organizations, or program partners when needed to administer a program; or when required by law or reasonably necessary to protect safety, rights, or security.

7. Website Forms and Data Storage

Information submitted through Orblynx Academy website forms and registrations is stored in the website's database within its managed hosting environment. Form notifications may also be sent to Orblynx's Microsoft 365 mailbox. Access to submitted information is limited through named, role-based administrator accounts. Authorized Orblynx Academy administrators can view, correct, export, and permanently delete records as appropriate.

8. Cookies, Analytics and Third-Party Services

The website uses limited cookies and third-party services needed for website functionality, analytics, registration, and related services. These include Google Analytics and Search Console, Square for payments, Permission Click for permission forms, an email service for confirmations, Microsoft 365 for form notifications, and a session cookie for Educator Portal login. Orblynx Academy does not use advertising, social media, or behavioral tracking on the website.

9. Data Security

Orblynx Academy uses reasonable administrative and technical safeguards designed to protect personal information, including secure connections, access controls, backups, and ongoing system monitoring and maintenance. No website, electronic transmission, or data storage system can be guaranteed to be completely secure.

10. Data Retention

Orblynx Academy retains personal information only as long as reasonably necessary for program, administrative, financial, legal, contractual, safety, or other legitimate organizational purposes. Retention periods may be configured for website records, and authorized Orblynx Academy administrators can permanently delete records when appropriate.

11. Your Choices and Requests

Parents, guardians, educators, and other users may contact Orblynx to request correction or deletion of personal information where appropriate, update communication preferences, or update or withdraw permissions. Certain information may need to be retained for legal, financial, contractual, safety, or recordkeeping purposes.

12. Third-Party Websites and Services

Our website may link to third-party websites or services. Orblynx Academy is not responsible for the privacy practices, content, or security of services we do not operate. We encourage you to review their privacy policies before providing personal information.

13. Changes to This Privacy Policy

We may update this Privacy Policy as our programs, website, technology, or practices change. When we do, we will update the Last Updated date at the top of this policy.
